E-mail back up and recovery for Lenexa city

One-click recovery features in Mimosa Nearpoint e-mail back up and recovery solution for Exchange supplied to the Kansas city of Lenexa.
Mimosa Systems has announced that the City of Lenexa has deployed the next-generation Mimosa NearPoint for Microsoft Exchange Server to assure the retention, protection and recovery of its vital email data.

The City of Lenexa is located in the central part of Johnson County, in northeast Kansas. The city's population, standing at almost 46,000 in 2007, increased by nearly 15 percent since 2000 according to the US Census Bureau and Lenexa Planning and Development Department. The fourth most populous city in Johnson County, Lenexa is a satellite city of Kansas City. As in most growing cities today, the majority of the city's business applications require email and as such Microsoft Exchange has become a vital part of Lenexa's communications infrastructure.

Across the Lenexa network, email volume was reaching unmanageable proportions, as city employees retained historical email dating as far back as 1989. Adding to the volume was a drive to go "paperless" initiated in the 1990s. Despite numerous "cleanup campaigns" by the city's IT organisation, users continued to save all their historical emails in local PST files which started to experience corruption and monopolized costly storage space on file shares, desktops and laptops.

"We tried massive clean up campaigns, and even gave prizes for cleaning mail repositories. This worked for a while, but we needed a better way to manage the volume," said Senior Network Administrator, Mike Lawrence of the City of Lenexa. "We had to quickly get ahead of the curve because large mail-stores were causing operational problems. So we began to evaluate a number of solutions. We could not afford to lose email because it is a mission critical application. If the system went down, it could take several painful days to restore files, mailbox-by-mailbox. So we selected Mimosa's content archiving solution for its continuous protection of Exchange information and one-click recovery of mailboxes and databases. We knew just how important this was."

Key Mimosa NearPoint features that were particularly important to the City of Lenexa include:.

* Continuous Capture and Archiving of Exchange Data: including all metadata, emails, folders, deletions, calendars, contacts, notes, tasks to quickly identify relevant content as part of a discovery or disclosure request.
* Automated Exchange Storage Management: Mimosa NearPoint will reduce the city's storage requirements by moving attachments, based on policies of age and size, to the NearPoint server. The NearPoint Mailbox Extension feature allows Lenexa's IT staff to define policies that stub attachments in Exchange while still giving users seamless access to the email.
* Simple "One-Click" Recovery: Mimosa NearPoint gives the City of Lenexa continuous protection of all its Exchange information. NearPoint preserves all Exchange information disk and allows users to restore individual messages themselves via Outlook and allows administrators to restore complete mailboxes and databases with simple "one-click" operations.

"Mimosa NearPoint will allow us to dramatically reduce mailbox size, while assuring users they still have continuous access to email information," Lawrence said. "And it's comforting to know that if we lose Exchange we can restore files with one click. I sleep better at night."
